Who operates this integration
Crockwell Photography operates QuickBooks Private, a private integration for its own internal bookkeeping and financial reporting. It is not offered as a public service and does not accept connections from other businesses.
This policy covers the integration. It does not replace policies governing Crockwell Photography's photography services or general website visitors.

Information accessed
When the business owner authorizes a QuickBooks Online company connection, the integration can retrieve company information, customer and vendor records, invoices, bills, chart-of-accounts information, and financial reports. These records may include names, contact information, addresses, transaction descriptions, dates, amounts, balances, and other information included in the requested QuickBooks response.
The integration also stores connection information, including the QuickBooks company identifier and authorization tokens, to maintain authorized access. Intuit handles account sign-in; the integration does not collect the owner's QuickBooks password.
How information is used
Information is used to answer the owner's bookkeeping questions, review outstanding invoices and bills, and summarize financial reports for Crockwell Photography. The connector exposes read-only tools. It does not offer tools to create, change, delete, or send QuickBooks records or to initiate payments. Intuit's accounting authorization may be broader than these tools; the read-only restriction is implemented by the connector.
Where information is processed and shared
The connector runs on a computer controlled by Crockwell Photography and communicates with Intuit's QuickBooks Online services. Requested records and reports are returned to OpenAI's Codex environment so the assistant can respond. Results may contain personal information about customers or vendors when that information is part of a requested record.
The integration is therefore not an entirely offline system. Intuit and OpenAI process information under their applicable service terms, privacy policies, and the settings of the accounts used by Crockwell Photography. Processing and storage locations depend on those services. This policy does not promise a particular data residency location, provider retention period, or model-training setting.
Crockwell Photography does not sell information obtained through this integration or use it for advertising. Information may also be disclosed when required by applicable law.
The public website hosts this policy and the integration's terms. Accounting records and credentials are not published on those pages. Website hosting and visitor information are separate from the accounting connection.
Storage and safeguards
Connection credentials and tokens are stored outside the integration's source-code project in a local file restricted to the computer's user account. The integration does not itself encrypt that file. Access to the computer and its backups must therefore be protected.
The connector does not maintain a separate accounting database. Retrieved information can nevertheless remain in Codex task history, service records, or files and exports created during use. Local backups may contain copies of locally stored information. Access credentials must not be placed in public website pages or shared in conversations.
Retention and disconnection
Local connection credentials remain until removed by the business owner. Business reports and exports are retained as needed for internal business and recordkeeping purposes and are removed when no longer needed, subject to applicable retention obligations. Information retained by Intuit or OpenAI is governed by the relevant service's settings and policies.
The owner can revoke the integration's access through QuickBooks Online's connected-app controls and disable or uninstall the connector. Revoking access stops future authorized retrieval; it does not automatically delete existing QuickBooks records, Codex conversations, local exports, or backups. Those copies must be managed separately through the relevant application or storage location.
